This policy describes how Haegele Holdings LLC (“we”) handles information on timeoperators.com: the Calendar Audit, the accounts behind the Advisor, and the Advisor itself. The short version: your calendar file never leaves your browser, the only email you may get is an occasional note from Josh about new Time Operators tools (which you can switch off), and everything the Advisor knows about you is listed on your account page where you can delete it.
The Calendar Audit, without an account
The calendar export you choose is read and analyzed inside your browser. The file itself is never uploaded. When the report is ready, only the finished report is sent to us so you get a link to it.
What the report contains and we store: aggregate numbers (meeting hours, fragmentation, open stretches, and the like); the titles of recurring and flagged meetings; the display names of people you meet with most, as they appear in your export, because the report's people section needs them; the settings you chose (working hours, time zone, date range, and the name or email you typed into the “who are you” field, if you did); the revenue or pay band if you picked one; the name of the file you uploaded; a salted hash of your IP address; and your browser's user-agent string.
What we never store: the calendar file, attendee email addresses, event descriptions, locations, or anything from meetings that were not flagged.
Each report lives at an unguessable link. It is not listed anywhere and is marked not to be indexed by search engines, but anyone you give the link to can open it. Reports do not expire on their own. To have an anonymous report removed, email the link to us at the address below.
The Workflow Touch Audit
The Touch Audit is a questionnaire: whether each of twenty kinds of time leak applies to you, and the numbers you type to size it (minutes, how often, how many people, days of waiting). We store those answers, the report computed from them, a salted hash of your IP address, and your browser's user-agent string. The audit opens and closes on the Exit question, so it also stores what you type there: the client, service line, or commitment you name, what you decided to do about it, and what would put a parked one back on your list. Anything you type in a free-text field (“name one” task, a role) is stored the same way. Reports live at unguessable, unindexed links, like Calendar Audit reports. Signed in, each answer also becomes a fact on your account so the Advisor can use it.
Accounts
You can sign in with a Google account to use the Advisor. Google tells us your account identifier, your email address, your name, and your profile picture URL. We store these so we can recognise you when you come back. We request no other Google permissions: we cannot see your calendar, your mail, or anything else in your Google account, and we never write to it.
Email from us. We may use your account email to tell you about new Time Operators tools and related offerings from Haegele Holdings. This is occasional and written by a person; the site sends no automated email, no newsletter, and no follow-ups about your reports. You can switch it off at any time on your account page, and deleting your account removes your address entirely. We never sell or share your address.
Signing in sets one cookie holding your session. It is encrypted, not readable by scripts, and removed when you sign out. There are no analytics cookies, no advertising cookies, and no third-party tracking scripts anywhere on the site.
The Advisor
The Advisor asks questions about specific findings in your report. Your answers are stored as facts about how you work, attached to your account, so the next audit does not ask again. Each Advisor pass is stored too: the questions asked, the answers, the adjusted numbers, and the recommendation.
What leaves our systems. To write the recommendation, one request is sent to Anthropic's API containing a digest of your report (the aggregate numbers, flagged meeting titles, and up to three names of colleagues who could cover meetings for you), a digest of your Touch Audit if you have one (the leak categories, their hours, and anything you typed in its free-text fields), the facts on your account, and your answers. Anthropic processes it to produce the recommendation. Under Anthropic's API terms, data sent through the API is not used to train its models; its handling is described in Anthropic's privacy policy. Nothing else about you is sent to any third party.
Operating style
The operating-style questionnaire is twelve situations with four responses each. We store which response you picked for each and the resulting profile, as a fact on your account, so the Advisor can tailor how it talks to you. It is a lens for the Advisor, not a measurement of you, and it is never shown to anyone else. Forget it or retake it any time.
Aggregated statistics
We may publish and use statistics computed across many accounts, such as the average hours lost to a kind of leak in an industry, or how often a kind of change sticks. These are aggregated and de-identified: no name, email, meeting title, or number that could identify you or your business is ever part of them, and no statistic is published from fewer than ten accounts. The optional details on your account page (industry, headcount, role, team size) exist only so these statistics can be honest; leave them blank and your data stays out of the industry cuts.
Where it is stored
The site runs on Vercel and the database is Postgres hosted by Neon, both in the United States. Database access is limited to this application.
How long we keep it
Reports, accounts, facts, and Advisor passes are kept until you delete them. Anonymous reports are kept until you ask us to remove them.
Your controls
On your account page you can see every fact the Advisor holds and forget any of them, and you can delete your account. Deleting your account removes the account, every fact, every Advisor pass, and every audit attached to it, immediately and permanently.
For anything else, including removal of an anonymous report, a copy of your data, or a correction, email haegeleholdings@gmail.com. We answer within a few days.
Children
The site is for working adults and is not directed at anyone under 16. We do not knowingly collect information from children.
Changes
When this policy changes, the date at the top changes with it. Material changes are noted on this page for thirty days.
